MailRoom ToolKit

Mail International Ltd. Eliminates Time-Consuming Processes and Expands Services

A mailing house servicing a variety of customers, Mail International typically handle 15 to 20 jobs per day. Each day, Mail International receive 40 to 50 files containing addresses sent from multiple sources. Finding an efficient and complete mailing solution would immediately impact the organisation's bottom line.

In the past, Mail International relied on multiple separate software programs to meet all their customers' needs, and this presented several logistical problems. They used a Visual Basic application and Microsoft Access as their main database, and three different software packages for address cleaning and mail sorting. (Each one of these packages offered different features.) They described one of their batch-processing products as slow and cumbersome, because it involved an impractical process of returning cleaned data back to the original database.

As a result, they found themselves importing and exporting data many times per mailing. Wasted time and the cost of maintaining many separate software solutions had become major issues.

Satori Software contacted Gavin Boyd, IT director at Mail International, with a solution: integrated everything with MailRoom ToolKit software. Recognising the value of an integrated solution, he showed immediate interest. As an experienced mailing software user, Gavin looked for several specific features, and MailRoom ToolKit delivered on every one. Satori Software gave a product demo to several Mail International staff members, a very demanding audience. Impressed by what they saw, Mail International purchased MailRoom ToolKit the following week and have been completely satisfied with their decision.

Mail International found the software solution very easy to implement. Gavin found it "straightforward" and it took literally just "minutes.” He now primarily uses MailRoom ToolKit Office with Microsoft Access and Excel.

Gavin also praised the technical support. "It was very good. They provided prompt responses to niggling problems".

The result?

"MailRoom ToolKit has saved us carrying out separate tasks with data. We can now run differing operations all in one place.” Gavin said. In addition to mail preparation, Gavin discovered that he could also offer batch-processing service to his customers as a new source of revenue. "From data cleansing alone, we could cost-justify the purchase of the software", Gavin said.
